Sponsorship Coordinator

The Dalhousie Student Union is looking for a Sponsorship Coordinator to work 20-25 hours per week, May 1 - September 30, heavier time commitment in earlier months

The Sponsorship Coordinator will be responsible for the development and execution of the Dalhousie University Orientation Week and Student Handbook sponsorship strategy run by the Dalhousie Student Union. The Sponsorship position is for student leaders who will dedicate themselves to delivering a supportive, informative, and inspiring program for all new and returning students to Dalhousie University’s Halifax campuses. This position will be directly reporting to the DSU Vice President of Student Life who will also be assisting with Orientation and Handbook endeavors, and will work in consultation with the DSU Graphic Design and Campaigns Coordinator who acts as the project lead for the Student Handbook. 

Duties:

Program development

  • Reviewing and Revising the sponsorship strategy for Orientation Week, DALfest, and the Student Handbook
  • Initiating and managing relationships with sponsors, as well as assisting with event set up and follow up. 
    • Orientation
      • If the Sponsorship Coordinator is unable to participate in event set up and follow up then it is expected that an alternative candidate will be found and trained by the Sponsorship Coordinator
      • Assisting the VP Student Life in a follow up with sponsors 
    • Student Handbook
      • Sell cover ads, divider page ads, full page ads, and coupon section of the Student Handbook to university, local and national advertisers
      • Follow up with advertisers and coordinate with DSU accounting office to ensure prompt payment for ads
      • Coordinate art submission for ads with the DSU Graphic Designer and Campaigns Coordinator and ensure are submission deadlines are met
    • Work collaboratively with sponsors to ensure sponsorship and advertising can be maximized for both Orientation Week and the Student Handbook
  • Coordinating the development and packing of the Orientation Week Kit
  • The individual is expected to work from the date of the agreement until the end of September, or otherwise directed by the VP Student Life.
  • A Day-of-Event checklist for orientation activities to ensure sponsors conditions are being followed
  • Work collaboratively with all Orientation programs at Dalhousie University (eg. International, Grad Students)
  • Actively engage with O-Week Programming Coordinator throughout the Summer leading up to the event
  • All final decisions regarding sponsorship contracts ultimately rest with the VP Student Life. It is the responsibility of the Sponsorship Coordinator to inform and review contracts with the VP Student Life in a timely manner
  • All sponsorship agreements relating to the handbook must be signed and approved by the signing officers of the DSU and operations by May 31st, 2017.
  • All sponsorship agreements relating to orientation must be signed and approved by the signing officers of the DSU and operations by July 31st, 2017

Communications

  • Meet regularly with the DSU - VP Student Life
  • Manage data regarding sponsorship targets and confirmed partners and their contact info
  • Meet regularly with relevant full-time staff at the DSU
  • Prepare monthly and end of term report on the position
    • Monthly payment is contingent on receiving O-Week updates each month from Coordinator

Qualifications:

  • In good academic standing
  • Skills with sales, coordinating, and marketing
  • Outstanding leadership and organizational skills
  • Flexibility and willingness to work extended days during orientation season
  • Excellent written and verbal communication skills
  • Critical and creative thinking skills
  • Ability to work both independently and within a team
  • Knowledge of campus and community resources
  • Respect for and enthusiasm about serving a diverse population
  • Interest and experience in program marketing and promotions
  • Excellent computer skills (word processing, email, database management, spreadsheets) 
  • Previous experience with DSU and Dalhousie University Orientation Week is a major asset
  • Experience working in an office and maintaining professional working relationships an asset 

Honorarium: $1500 plus commission
