Plan an Event – Step 4: Book Space

Where do you want to hold your event? There are lots of great venue options for societies on campus and beyond, and we try to provide as much assistance as possible to make this process run smoothly. Here you'll find specific information on how to book space at various locations around campus.

In the Student Union Building

The SUB has a wide range of event and conference rooms available with a complete set of in-house services to make your event a success. Ratified societies have access to discounted rental rates for space in the SUB, as well as free bookings for certain spaces throughout the year. Subject to availability, ratified societies can book the following venues for free:

  • Meeting and conference space, once per week
  • Lobby kiosk space, four times per term
  • The McInnes Room, once per year

Please note that this offer only waives the rental fee for the venue itself. Societies are still responsible for ancillary charges related to events, such as event staff, equipment rentals, and catering. Contact the Director of Meeting and Event Management for more information.

Ratified societies can also book the Society HUB Conference Room through Member Services during the business hours, dropping into Campus Copy between the hours of 9am and 6pm and by visiting the Information Desk during the day or evening. Societies must present a valid Society Access Card to be able to use the room and they are responsible for cleaning the room when they are done. 

University Buildings & Outdoor Spaces

Space in many university buildings across all campuses can be requested and booked through Campus Bookings. A new central booking system has been implemented to streamline the reservations process, and ratified societies have special access for planning your events with Campus Bookings. There are a number of options available to ratified societies for booking space, including self service bookings with instant confirmation, and full service bookings coordinated with Campus Bookings staff.

Self Service Bookings

For simple or short notice bookings for small gatherings and group meetings, self service bookings give you the ability to book a room up to five days in advance and receive instant confirmation. To make a self service booking:

  1. Go to and login using your Dalhousie NetID and password.
  2. In the Self Service menu on the left side of the page, select Find a room.
  3. Select your desired location, date, and time, then click Verify Availability to view available spaces.
  4. Click the Book button next to the desired space.
  5. Click Confirm to complete your booking.

Booking Requests

If your event cannot be accommodated by a self service reservation, Campus Bookings staff will assist you with your booking through the Requests portal. To submit a reservation request:

  1. Go to and login using your Dalhousie NetID and password.
  2. In the Requests menu on the left side of the page, select Find a room.
  3. Make sure that Request Type is set to Ratified Society Booking.
  4. Select your desired location, date, and time, then click Verify Availability to view available spaces.
  5. Click the Request button next to the desired space.
  6. Enter additional details about your event, including the DSU Event ID Number from your approved risk management form, and the contact information of your PEO.
  7. Click Submit to complete your request. Your event details will be reviewed by Campus Bookings staff and you will receive a notification once your request has been processed.

Campus Bars

The Grawood and the T-Room are the DSU's campus bars. The Grawood is located in the Student Union Building on Studley Campus, and the T-Room is located in J Building on Sexton Campus. To book either of these spaces, contact
